=====================================

The Agenda Transfer Utility allows you to copy information from Lotus 
Agenda 2.0 to Lotus Organizer.  The utility transfers items with dates 
and times (for example, "Call Bill next Friday at 10am") to the Calendar 
section of the Organizer and items with dates but no times (for example, 
"Call Bill next Friday") to the To Do section.  All items, their associated
categories, and any attached item notes are transferred to the Notepad 
section.  Category notes, however, are not transferred.  You may first 
want to experiment with a small Agenda file to see how the utility transfers
information. 

After installing the utility, you attach a macro (EXP2ORG.MAC) to your 
Agenda 2.0 file.  When you run the macro, the ITEM2CSV utility converts 
your Agenda 2.0 information to files in CSV (comma separated values) 
format.  You import these CSV files into the Organizer.

NOTE:  The utility looks for dates assigned to the When category.  If 
you've renamed this category in your Agenda file, ITEM2CSV will not work 
properly. Make sure that the dates for the items you want to transfer are 
assigned to a category named "When" prior to using the utility.  

Installing the Utility
----------------------
Place these two files in their own directory (ie. C:\AGTR) and
UNZIP them.

ATRUTIL1.ZIP contains the following files:

                        README.1ST (this file)
                        INSTALL.EXE (necessary to install the utility)
                        INSTALL.DAT (used by INSTALL.EXE)

ATRUTIL2.ZIP contains only one file:

                        UTIL.EXE (executed by the INSTALL.EXE. Do
                                  not execute this program yourself.
                                  When INSTALL.EXE executes this pro-
                                  gram, INSTALL.EXE creates the files for
                                  the transfer utility:
                                       ITEM2CSV.EXE
                                       ITEMCSV.DAT
                                       ITEMCSV.FPT
                                       PLANF.STF
                                       EXP2ORG.MAC
                                  and places these files in the
                                  the directory you specify during
                                  the installation.

You must install the Agenda transfer utility by running INSTALL.EXE.  
There is no way to assemble the transfer utility by hand.  
INSTALL.EXE prompts you for the drive and directory where you 
wish to install the utility.

After running INSTALL.EXE, you no longer need the following files:

                        ATRUTIL1.ZIP
                        ATRUTIL2.ZIP
                        INSTALL.EXE
                        INSTALL.DAT
                        UTIL.EXE
                        README.1ST

Should you wish to reinstall the Agenda transfer utility in the future,
save the following files on a high-density floppy or somewhere on your
hard disk (this is the same set of files on the distribution disks):

                        INSTALL.EXE
                        INSTALL.DAT
                        UTIL.EXE



If you are installing the Agenda transfer utility over a previous
installation and you are installing the utility to the same directory, 
after running INSTALL.EXE, you can just start Agenda and 
run the new version of the utility.

If you are installing the Agenda transfer utility for the first time or
are installing this version to a different directory, after running 
INSTALL.EXE, you need to start Agenda and attach the macro file 
EXP2ORG.MAC (c) to an Agenda database.  EXP2ORG.MAC is located in 
the directory where you installed the Agenda transfer utility.  

Attaching the EXP2ORG.MAC Macro to an Agenda 2.0 File
-----------------------------------------------------
1.  Start Agenda and open the Agenda file that contains the information 
    you want to transfer to the Organizer.  
2.  Press ALT-F3 to display the Agenda Macro Manager. 
3.  If you have macros in your file, move the cursor where you want to
    insert the macro, and press INS.  
4.  Type a temporary name for the macro and press ENTER. 
5.  Press F6 (PROPS) to display the Macro Properties box and select 
    Macro file.
6.  Type the drive and pathname for the ITEM2CSV directory and the    
    EXP2ORG.MAC macro and press ENTER (for example, :\item2csv\exp2org.mac). 
    Or, to select the file, you can press  F3 (CHOICES), highlight [...] 
    to change directories, select the ITEM2CSV directory, highlight 
    EXP2ORG.MAC and press ENTER.
7.  Press ENTER to return to the Macro Manager.
    The macro is now attached to the file. "Export to Organizer" appears
    in the Macro  Manager.  The double note symbol indicates that the 
    macro is an external file.  
8.  Press ESC to return to the Agenda view, then create a backup of your  
    Agenda file before proceeding to the next step.

Running the Agenda Transfer Utility
-----------------------------------
1.  Open the Agenda file that contains the items you want to transfer to 
    the Organizer.   The file must have the "Export to Organizer" 
    macro attached. 
2.  To export all the items in a view, simply display that view.  To 
    export items in a particular section, highlight the section heading. 
    To export marked items, use F7 (MARK) to mark the items you wish to 
    export.
3.  Press ALT-F3 to display the Macro Manager.
4.  Highlight the macro "Export to Organizer" and press ENTER.
5.  Select which items you want to export from the list on the screen 
    and press ENTER.  The macro exports the items you selected.  It runs 
    the utility which displays the default settings for preparing to 
    import information. 

Items with When dates and time assignments are imported into the Organizer's
Calendar section.  Only the original item of a recurring Agenda date is 
transferred to the Organizer and not additional instances.  Once you've 
transferred the information, you can easily edit any Calendar appointments 
in the Organizer to make them repeating appointments.  You can also change 
this setting to import items to the To Do section (and lose the time 
assignment) or to exclude the Calendar and To Do sections when transferring
items.

Items with When dates but no time assignments are imported into the 
Organizer's To Do section.  You can change this setting to import items to 
the Calendar section (you'll be prompted to assign times to these items 
since the Calendar section requires this) or to exclude the Calendar and 
To Do sections when transferring items. 

All items are imported into the Organizer's Notepad section.  You can 
change this setting to exclude the Notepad section when transferring items.

6.  To select the default settings, press n.  In most instances, the default      settings are appropriate.  If, however, you want to change these              settings, see "Changing the Default Settings" below.

    Changing the Default Settings

1.  Follow steps 1-5 above in "Running the Agenda Transfer Utility."
2.  When the utility displays the default settings for importing items and 
    prompts, "Change the configuration? Y/N:", press y.
3.  Highlight the Organizer section where you want to import items with 
    When date and time assignments and press ENTER.
4.  Highlight the Organizer section for items with When dates but no time
    assignments and press ENTER.
5.  Select whether you want All or None of the items to be exported to the 
    Notepad and press ENTER.
6.  Confirm the settings you have chosen by pressing y.
    The utility exports the information according to the settings you chose.

Importing Agenda 2.0 Items into the Organizer
---------------------------------------------
Depending on your choices for exporting Agenda information, the utility 
creates the following files in the ITEM2CSV directory.

ITEM2CAL.CSV contains items with When dates and times.  You'll import this 
file into the Calendar section of the Organizer.  If the Agenda information
you export does not include dates and times, ITEM2CAL.CSV is not created.

ITEMTODO.CSV contains items with When dates but no times.  You'll import 
this file into the To Do section of the Organizer.    If  the Agenda 
information does not include items with dates but no times, ITEMTODO.CSV 
is not created.            

ITEMTONP.CSV contains all items.  You'll import this file into the Notepad 
section of the Organizer.  If you choose not to export information to the 
Notepad section, ITEMTONP.CSV is not created.     

    Importing into the Calendar Section

1.  Exit Agenda and open the Organizer file into which you want to import
    information from Agenda 2.0. 
2.  Select File Import.
3.  For Into section, select the Calendar section into which you want to 
    import information.  
4.  For Import format, select ASCII (CSV).
5.  For Import file, specify the path and filename (item2cal.csv) for the 
    file containing Agenda items for the Calendar section (for example,           c:\item2csv\item2cal.csv) and press ENTER.
    Or, to select the file, select [...] in the Directories box to change 
    to the ITEM2CSV directory, select item2cal.csv in the Files box, then
    choose OK. 
6.  In the Field Mapping dialog box, choose Map all.  The files created 
    by ITEM2CSV are structured to map directly into the appropriate 
    Organizer fields.
7.  Choose Import.

    Importing into the To Do Section

1.  In the Organizer file where you want to import Agenda information, 
    select File Import.
2.  For Into section, select the To Do section you want to import into by  
    clicking on the down arrow then clicking on the To Do section.
3.  For Import format, select ASCII (CSV).
4.  For Import file, specify the path and filename (itemtodo.csv) for the 
    file containing Agenda items for the To Do section (for example, 
    c:\item2csv\itemtodo.csv) and press ENTER.
    Or, to select the file, select [...] in the Directories box to change 
    to the ITEM2CSV directory, select itemtodo.csv in the Files box, then 
    choose OK. 
5.  In the Field Mapping dialog box, choose Map all.  The files created by
    ITEM2CSV are structured to map directly into the appropriate Organizer 
    fields.
6.  Choose Import.

    Importing into the Notepad Section

1.  In the Organizer file where you want to import Agenda information,
    select File Import.
2.  For Into section, select the Notepad section you want to import into by
    clicking on the down arrow then clicking on the Notepad section.
3.  For Import format, select ASCII (CSV).
4.  For Import file, specify the path and filename (itemtonp.csv) for the 
    file containing Agenda items for the Notepad section (for example, 
    c:\item2csv\itemtonp.csv) and press ENTER.
    Or, to select the file, select [...] in the Directories box to change 
    to the ITEM2CSV directory, select itemtonp.csv in the Files box, then
    choose OK. 
5.  In the Field Mapping dialog box, choose Map all.  The files created by
    ITEM2CSV are structured to map directly into the appropriate Organizer
    fields.
6.  Choose Import.

Installing the New Printer Driver, Agenda Icon, and PIF File
============================================================

The printer driver for the HP LaserJetr III printer, the Agenda icon, and 
Agenda PIF file are located in a directory on the utility disk called 
AGTOOLS.  You'll need to copy them to the directory where your Agenda 
program files are located (for example, c:\agenda).  If your Agenda 
program files are on a different drive or in a different directory, 
substitute the name of that drive and/or directory in the instructions 
below.

Installing the Printer Driver, Icon, and PIF file
-------------------------------------------------
1.  At the DOS prompt, insert the utility disk in drive A or B.
2.  Switch to the drive containing the disk by typing a: or b: and 
    pressing ENTER.
3.  Type cd\agtools and press ENTER.
4.  Copy the files to your Agenda program directory by typing copy *.* 
    c:\agenda and pressing ENTER.

The new files are copied to your Agenda program directory.  This does not
affect any other files.  

Using the New Printer Driver
----------------------------
1.  In an Agenda file, press F10 (MENU)  and choose Print Setup.
2.  Choose Primary printer or Secondary printer and select HP LaserJet III
    or IBM 4019 (HP emulation mode) from the list.
    When you print this file, Agenda will use the printer you chose.

Adding Agenda 2.0 to a Windows Program Group
--------------------------------------------
1.  Start Microsoft Windows and highlight the program group where you
    want to add Agenda.
2.  From the menu, choose File, then New, select Program Item and choose 
    OK. 
3.  Type a description for the program in the Description text box (for 
    example, Agenda 2.0).
4.  If you're using Windows 3.0, type the path of the Agenda program  
    directory followed by the PIF filename, AGENDA.PIF, in the Command Line
    text box (for example, c:\agenda\agenda.pif).  
    If you're using Windows 3.1, type agenda.pif in the Command Line text         box and the path of the Agenda program directory in the Working               Directory text box (for example, c:\agenda).  
5.  Select Change Icon, choose OK when prompted that no icons are 
    available, and type the path of the Agenda program directory followed 
    by the icon filename, AGENDA.ICO, in the File Name box (for example, 
    c:\agenda\agenda.ico).
6.  Choose OK three times to return to the Program Manager.  
    The Agenda icon and description appear in the program group.  To start
    Agenda, double click on the Agenda icon.
